How to plan a staff end-of-year party — budgets, venues, inclusivity, alcohol and host responsibilities.

The end-of-year function is a chance to thank the team. Good planning makes it inclusive and safe.


Book early

November and December are peak season. Book venues and entertainment by September.


Budget

Set a per-head budget covering venue, food, drinks, entertainment and transport.


Inclusive planning

  • Survey staff on preferred dates and activities
  • Offer plenty of food and non-alcoholic drinks
  • Cater for dietary and cultural needs
  • Choose an accessible venue
  • Consider daytime options for staff with family commitments

  • Activity ideas

  • Long lunch at a winery
  • Team activity (bowling, escape rooms, cooking class) followed by dinner
  • Picnic or barbecue with lawn games
  • Evening party with a DJ

  • Host responsibilities

    Employers have health and safety responsibilities at work functions. Serve food throughout, limit open bars, and arrange taxis or shuttles home.


    Recognition

    Keep speeches short and use the event to recognise achievements from the year.
